NYLOS module · Ethiopian inventory software · 2026 guide
Inventory & Procurement,
precise across every branch.
NYLOS Inventory & Procurement is Ethiopian inventory and procurement software built by NYLOS Software and Systems PLC in Addis Ababa. It provides real-time multi-warehouse stock visibility, automated reorder points and purchase orders, objective supplier scorecards, barcode/serial/batch tracking, FIFO/weighted-average/standard costing, multi-currency procurement, and MOR-compliant invoicing — all on the same database as NYLOS Finance & Accounting and the rest of the NYLOS ERP suite.
It serves manufacturers, wholesalers, retailers, construction firms, pharma distributors, coffee exporters, NGOs and other Ethiopian operations that need precise stock control and auditable procurement — at a single warehouse or across a hundred branches.

Why Ethiopian inventory has its own rules
Multi-branch, multi-currency, multi-regulator.
Ethiopian inventory operations have their own gravity. Most businesses operate across multiple branches, often in connectivity-constrained sites. Imports go through the Ethiopian Customs Commission with landed cost (freight, duties, customs broker fees) that must be allocated to received items correctly. Suppliers operate under VAT or TOT regimes, and withholding tax applies to qualifying payments. Pharmaceuticals require batch and expiry tracking. Food and beverage require lot traceability.
Foreign tools like Odoo, SAP B1 or NetSuite can be configured to handle these — but the local customizations (Ethiopian VAT invoice format, ERCA-aligned tax codes, customs cost capture, multi-branch transfer workflows) typically come through partners or in-house customization.
NYLOS Inventory & Procurement was designed inside this reality. Multi-branch is the default, not a configuration. MOR-compliant invoices are produced natively. Multi-currency procurement with landed-cost allocation is built into the platform. Withholding tax applies per supplier and transaction type automatically.
When MOR refreshes invoice format requirements or ERCA updates tax structures, NYLOS rolls the changes out to every active customer in the release cycle. The inventory team doesn't renegotiate compliance every quarter.
Core features
Twelve capabilities that replace spreadsheets and silos.
- 01
Multi-warehouse stock visibility
Real-time stock positions across every warehouse, branch, sub-store and bin location. One database, no per-warehouse silos. Move stock between locations with full audit trail. - 02
Supplier master & scorecards
Centralized supplier records with TIN, registration, payment terms, performance history. Objective scorecards tracking on-time delivery, quality acceptance rate, price competitiveness and responsiveness. - 03
Automated reorder points
Configure min/max levels per item per location. When stock dips below the threshold, NYLOS raises purchase requisitions or POs automatically based on the configured policy. - 04
Multi-step purchase approvals
Purchase requisition → quotation → comparison → PO with configurable approval chains. Tax codes (VAT/TOT/withholding) applied per supplier and transaction type. - 05
Goods receipt & QC
Receive goods against the PO with three-way matching (PO/GRN/Invoice). QC workflows let inspectors accept, partially accept or reject with full quality trail. - 06
Barcode, batch & serial tracking
Scan-based receipt, transfer, picking and dispatch. Track batches with expiry dates and serial numbers for warranty-bearing or regulated items. - 07
Costing & valuation
FIFO, weighted average and standard costing per item. Live inventory valuation by location, batch or category. Period-end valuation reports for finance close. - 08
Inter-branch transfers
Transfer stock between warehouses with documentation, in-transit tracking and dual approval. The receiving branch acknowledges to complete the transfer. - 09
Stock take & cycle counts
Plan periodic physical counts. Compare counted quantity to system quantity. Generate adjustment journals with approval. Mobile-friendly counting interface for warehouse teams. - 10
Multi-currency procurement
Foreign-currency POs and supplier bills handled at transaction-date rates. Landed cost capture (freight, customs, duties) allocated correctly to received items. - 11
Aging & turnover analytics
Stock aging by location, dead-stock identification, ABC analysis, turnover ratios — refreshing from the live inventory ledger. - 12
MOR-compliant invoicing
Sales and purchase invoices generated in MOR-compliant formats with the correct VAT treatment. Withholding tax applied automatically on qualifying supplier payments.
01 · Multi-warehouse stock
One database, unlimited locations.
Most Ethiopian operations run multiple warehouses — a central depot in Addis, regional stores in Bahir Dar, Hawassa, Mekelle, Dire Dawa, plus branch sub-stores. NYLOS treats each as a first-class location with its own stock balance, its own users with branch-scoped permissions, its own approval chains and its own reporting.
Stock visibility is real-time across every location. A central buyer can see total stock across all warehouses; a branch manager sees only their branch. Inter-branch transfers are tracked with in-transit visibility — stock leaves the sending warehouse, sits in transit, arrives at the receiving warehouse upon acknowledgment. Costing is preserved through the transfer.

02 · Procurement & supplier management
From requisition to paid invoice.
NYLOS supports the full procurement cycle: purchase requisition → quotation request → supplier comparison → PO → goods receipt with QC → supplier invoice match → payment. Each step has configurable approval workflow. VAT and withholding tax codes apply per supplier and transaction type automatically.
Supplier scorecards measure on-time delivery percentage, quality acceptance rate, price competitiveness, and responsiveness — from live procurement data. Suppliers compete objectively. Read Supplier scorecards for Ethiopian procurement.
03 · Costing & valuation
FIFO, weighted average, or standard.
NYLOS supports three costing methods configurable per item class: FIFO (first-in-first-out — common for perishables and time-sensitive stock), weighted average (most common for general distribution), and standard costing (typical for manufacturing where variance analysis matters).
Live inventory valuation reports run at any cut-off date — by location, batch, item category or any combination. Period-end valuation locks for finance close. Variance analysis (standard vs actual) surfaces where margin is leaking. Read FIFO vs weighted average vs standard costing — picking the right method.
04 · Barcode, batch & serial tracking
Scan everything, trace anything.
Standard barcode scanners drive receipt, transfer, picking and dispatch operations. Mobile-friendly scanning interface for warehouse staff. Bulk operations let warehouse teams scan dozens of items per minute.
Batch tracking with expiry dates is essential for pharmaceuticals, food & beverage, agro-processing and any regulated category. Earliest-expiry-first-out logic prevents wastage. Serial tracking covers warranty-bearing items like electronics, machinery and vehicles. Read Barcode and batch tracking for Ethiopian manufacturers.
05 · Reorder points & automated POs
Never stock-out, never over-stock.
Configure min and max stock levels per item per location. When stock dips below the minimum threshold, NYLOS automatically raises a purchase requisition or PO based on the configured policy. The procurement officer reviews the auto-generated PO before it's sent to the supplier.
Reorder calculations factor in supplier lead times, average daily consumption, safety stock buffers and reorder quantities to optimize cash tied up in stock without risking outages. Read Automating reorder points and POs for Ethiopian operations.
06 · Goods receipt & quality control
Three-way matching, full quality trail.
Every PO is fulfilled via a Goods Receipt Note (GRN). NYLOS performs three-way matching automatically between the PO, the GRN and the supplier invoice — flagging discrepancies for resolution before payment. QC workflows let inspectors accept, partially accept or reject with reason codes, photographs and dated notes. Rejected items adjust the supplier's quality scorecard automatically.
07 · Integrations
Connected to your operating reality.
Hardware
Standard barcode scanners, label printers, weighing scales and RFID readers via the NYLOS mobile interface or direct integration.
NYLOS modules
Cost roll-up to NYLOS Manufacturing. Sales picking from NYLOS Sales & Dispatch. Journal posting to NYLOS Finance & Accounting. Project material to NYLOS Project Management. All on one database.
External systems
REST API for ecommerce platforms (Shopify, WooCommerce), Ethiopian customs filing tools, supplier portals and partner integrations.
08 · Pricing & licensing
Per active user, Birr-denominated.
NYLOS Inventory & Procurement is priced per active user per month in Ethiopian Birr, with volume-tier discounts. Unlimited warehouses, locations and items are included at every tier — pricing is by user count, not by SKU count or location count.
Implementation is quoted separately, project-based. Most distribution and manufacturing businesses start with Inventory & Procurement plus Finance & Accounting as their phase-1 NYLOS deployment.
