Why scanning matters more than typing

Manual inventory entry — type the SKU, type the quantity, hit save — is the slow, error-prone bottleneck in every warehouse operation. Barcode scanning replaces it. A receipt of 200 line items by manual entry takes the afternoon; the same receipt by scanner takes 15 minutes, and the error rate drops by an order of magnitude.

For Ethiopian operations dealing with growing transaction volumes, multi-warehouse complexity, regulated batches (pharma, food & beverage) and warranty-bearing serial items, barcode and batch tracking aren't optional. They are the operational foundation that makes scale possible.

This article walks through what barcode, batch and serial tracking require from inventory software — and how NYLOS implements them.

Barcode scanning across the warehouse cycle

A complete barcode implementation covers every transaction in the warehouse cycle:

  • Receipt: scan items as they arrive, validate quantity against the PO line, post the GRN.
  • Put-away: scan item, scan destination bin location, system records the location.
  • Transfer: scan item from source location, scan destination location, transfer posted.
  • Picking: pick list shows next item; scan to confirm; quantity decremented.
  • Dispatch: scan items as they leave the warehouse; sales order is fulfilled.
  • Cycle count: scan items on the shelf; system compares to expected.

NYLOS supports all six via the mobile-friendly warehouse interface. Standard 1D and 2D barcode scanners (USB, Bluetooth or mobile-camera-based) work. No proprietary hardware.

Batch tracking and expiry

Several Ethiopian sectors require batch tracking:

  • Pharmaceuticals — every batch has its own expiry. Earliest-expiry-first-out (EEFO) is required by good distribution practice.
  • Food & beverage — batch traceability is essential for recall.
  • Agro-processing — batch identifies origin lot, processing date and quality grade.
  • Chemicals — batch identifies production lot, regulatory classification and storage requirements.

NYLOS tracks every batch as its own inventory layer with:

  • Batch number.
  • Manufacturing date.
  • Expiry date.
  • Source supplier and PO.
  • Quality test results.

Receipts assign a batch. Picks consume from the batch closest to expiry by default (EEFO). Reports show stock by batch, expiring stock by date window, and aged batches that need disposal review.

Serial tracking

Items with unique serial numbers — typically electronics, vehicles, machinery, jewelry — are tracked individually. Each unit has its own record:

  • Serial number.
  • Source supplier.
  • Receipt date.
  • Current location (in stock, sold, returned, scrapped).
  • Customer (when sold).
  • Warranty start and end dates.

Serial tracking supports warranty management (find the customer who bought this unit, check the warranty status), service records (which units have been serviced when), and theft prevention (every unit's whereabouts are accounted for).

Mobile-first scanning interface

Warehouse staff scan from phones or tablets, not desktops. NYLOS's warehouse interface is mobile-first:

  • Receipt: phone camera as the scanner; tap quantity if not auto-decoded; submit.
  • Pick: phone shows the next item; scan to confirm; mark fulfilled.
  • Count: scan, type quantity, submit; variance flagged in real time.

For dedicated scanner hardware (Honeywell, Zebra and similar), NYLOS supports Bluetooth or USB-tethered scanners that drive the same interface.

Barcode generation

Items received without barcodes (a common Ethiopian reality with local suppliers) need internal barcodes printed and applied. NYLOS generates internal barcodes for any item, prints labels in standard sizes via label printers (Zebra, Brother and similar), and the printed barcode is then scanned in subsequent transactions.

Pharma-specific patterns

Pharmaceutical distributors and pharmacy chains in Ethiopia have specific requirements:

  • Batch + expiry tracking is required — by regulator and by good distribution practice.
  • EEFO is the picking rule — earliest expiry first out, with manual override only for documented reasons.
  • Expired stock must be quarantined — separated from active stock, disposed of with formal documentation.
  • Recall traceability — for any batch, identify all customers who received it.

NYLOS implements all four. The expiry-tracking reports surface stock by expiry window (e.g. "expiring in 90 days") for proactive sales push or supplier-return negotiation.

Food & beverage patterns

F&B operations need lot traceability for recall. From a customer complaint to "which suppliers' raw materials went into this finished batch", the trace must be complete and rapid.

NYLOS preserves the full chain:

  • Raw material supplier → received batch.
  • Production batch consuming raw materials → BOM linkage to source batches.
  • Finished goods batch → linked to production batch.
  • Sales → linked to finished batch.

A recall query starts at the customer and walks back to the raw material supplier in seconds.

Common pitfalls

Five patterns to avoid:

  1. Scanning at one stage only — half-implementation defeats the audit-trail benefit.
  2. Not tracking batches when regulator expects it — penalty exposure and recall failure risk.
  3. Allowing batch overrides without reason codes — destroys the discipline.
  4. Storing barcodes only as labels, not in the inventory system — disconnected from real stock movement.
  5. No barcode generation for local supplier items — large parts of inventory drop out of the scanning workflow.

How NYLOS implements barcode, batch and serial

NYLOS supports barcode scanning at every warehouse transaction stage, batch tracking with expiry and EEFO, serial tracking with warranty and service linkages, mobile-first scanning interface, internal barcode generation and label printing, and full traceability from raw material to customer.
